1. Welcome/Opening Remarks:  Patti welcomed everyone to the meeting and introduction were made for those new to the meeting. 

2. Addition to Agenda/ Approval of Agenda:

3. Approval of Minutes of November 7, 2007 and business arising from such minutes

Motion: Tracey Willoughby/Hayley Myers seconded 

Business Arising-hand sanitizers, what is the status?  Lisa has been unable to get information on them, hard to come by.  Patti will check with Judy Hale who works at hospital to see if she can be of assistance.

4. Treasurer’s Report

    (a) see attached report, summary as follows

     The Beginning Balance on the first of November was $ 27,714.35. This month we received $ 4,492.06 (explain the source(s) of income – money received). The Total Income for the month was $ 4,492.06. This month we had the following expenditures: (See Attached). The Total Expenditures for the month were: $ 4,377.49. The Current Balance as of Nov. 27, 2007 in the deposit book is $ 27,368.91 The Current Balance net of cheques is $ 27,709.  

December will see a large decrease in the bank balance as the bill for calendars, remaining amounts for teachers’ $100 each spending allowance will need to be paid.  Each teacher given $100 to spend on various supplies and as each provides receipt to the school, Home & School will reimburse them.

5. Liason Reports 

   Principal Report 

    • Remembrance Day celebrations were a success, special thanks to Corporal Cheverie and the grade 4 students and staff
    • Last day for the skating program will be Friday December 7.  Will wrap up with the fun day
    • Chess club done until Jan 14/08
    • Badminton done until 3rd week in February as children will be starting gymnastics
    • Hirtles has been in giving instructions on the new sound system for the gym.  It has some pretty nice features that will enhance the sound in the gym.  Big thank you to Home & School for their contribution to this
    • Christmas concert for grade 1 & 2 set for Dec 11th at 1:00pm.  Concert for grade 6 is Dec 12 at 7:00pm
    • Grade 5/6 choir will be performing at Delta on Dec 17/07
    • Last school day is Dec 21/07, first day is Jan 7/08

    Terry also brought forward a name of a gentleman who may be able to help out with the design of the library.  His name is Chris Holland.  Ellen Campbell to take under advisement. 

6. Committee Reports 

            Nutrition/Food Program

    • Will need to see if have any volunteers before we can re-establish this committee to deal with recent request to consider Subway subs for the void we have in the food program (Thursdays).  Will also need to consider the established provider on Wednesday and the effect, if any this could have on that day’s sales.
    • Patti will respond to the request for Subway subs

    50th Anniversary

    • Lisa gave update that she and Jill Lantz are the parent co-chairs and that teacher representatives have now been confirmed as Jo-Ann Esseghaier and Kathleen Angelini.  They have not met yet but ideas are being gathered as to format of the celebration, is it to be one day, a week celebration etc.  Aiming for a committee meeting in January.  Hayley will forward names of those who signed up to be part of the committee.

      Action: Hayley to provide names to Lisa.  Lisa to set meeting 

    • The library revitalization project is the Home & School’s gift to the school for this anniversary.

      Library Revitalization

      • Ellen Campbell gave her committee’s update.  Her co-chair Susan Brown was unable to attend.
      • They had planned on visiting some schools that have had renovations completed and yesterday it was to have been West Kent but due to the storm will need to be rescheduled.  They are also planning to visit West Royalty and Gulf Shore.
      • They have professionals in design/engineering that have volunteered to help with the design.  They hope to have this completed by the end of January 2008.

7. Correspondence – invitation received to Home & School and all parents to attend sessions at Sherwood Elementary that were held on Saturday November 24/07 

8. New Business 

Food Program

  • Questions being asked/raised by parents about what happens when no school, delays or closings.  Decision made to put information in next Home & School newsletter to answer these questions.  However, since no H&S newsletter for a month or so, we decided that the information would be put in the school newsletter of  Dec 19.  Patti will get Carol to co-ordinate with the office on this.  Info to be included is: Who to call to get your questions answered, it would be simply be a line like: ‘Please email Karen or Barbie (email addresses) or call 368-6400 for general questions, or check the school website. Also in the next school letter Carol could include a line or two about what happens to food program when school is cancelled (ie note to teacher the following week that item was paid previous week though not received due to storm).  Items like cancelled excursions will be handled by the front office.
  • Suggestion also made to having a ‘frequently asked questions’ page on the website.  Terry will bring this up for discussion.

Christmas Shoppe

  • Kathy and Carol O’Hanley have been working hard keeping track of the donations coming in.  There are presently 295 gifts and they would like 700.  They are short on male gift items and therefore are requesting that an extra look for gifts suitable for a male.
  • In order to bring more attention to the shoppe, which is being held on Friday Dec 14/07 they have implemented a coloring contest in the school
  • Met with school staff this week to present the contest details and to get their support for the event.  Also provided the teachers with a shopping schedule to make it easier for them to plan when they will bring their class to shop.

DARE Program

  • It has started with two classes thus far and the remaining two classes will be done after Christmas.  Some delays due to storm and concerts but working on getting back on schedule
  • Mike is having some trouble getting an invoice from the City Police.  Terry will discuss with Mr. LeDuc
 
Action:  Terry to discuss billing issue with Serge 

Skating Fun Day

  • Still in need of some more volunteers to help out at the school with the hot chocolate.  Patti and Hayley to work with office to firm up who is needed where and when and how many staff and older students will help
  • Tracey will finalize the hot chocolate supplier
  • There is no popcorn this year as our source has had problems with equipment, discussion ensued about changing this next year to rice krispy squares or chocolate chip cookies
 Ad Hoc Supplies Committee
  • Terry did not have an update, will discuss with Serge and bring forward to next meeting

    Action: Terry to discuss with Serge and bring to next general meeting 

9. Date and Time of Next Meeting: February 6, 2008 at 7:00pm in the staff room at the school. 

Next executive meeting is set for January 16, 2008 at 7:00pm
